GEK Services operates in the Facility Management sector, providing comprehensive services for the management of facilities, infrastructures, and critical building points. With a substantial volume and variety of managed assets, GEK Services faced the need to improve the efficiency, transparency, and operational predictability of its operations.




THE BUSINESS NEED

GEK Services was facing facility management challenges such as:

1. Asset registry and tracking: Repair and preventive maintenance of equipment required a reliable system for recording assets per facility, with detailed technical information.

2. Field operations automation: Technical teams needed to enter data directly from the field, without returning to the office and avoiding manual input.

3. Customer request management: There was a need for an organized method to manage new customer requests and request history, ensuring all data is available at any time.

4. Efficient cost and resource control: The large number of facilities required a system to monitor expenses, forecast costs, and optimize resources.

5. Centralized management: There was a need for centralized oversight of all facilities through a unified platform, so that management could have a clear view of performance, KPIs, and costing.

THE SOLUTION

The comprehensive Vortex Suite software ecosystem was implemented, combining four key modules:

1. Vortex FSM (Field Service Management):
A central system for managing maintenance projects, where requests are submitted, workorders are created, priorities are set, and the lifecycle of each workorder is analyzed.


2. Vortex FSM Mobile:

A user-friendly mobile application that allows field users to input data in real time, including reports, photos, signatures, and materials. This reduces errors, increases response speed, and eliminates the gap between field and office.


3. Vortex CM (Commercial Management):

Manages and tracks consumable inventories, sends low-stock alerts, schedules supplies, records incoming deliveries, creates delivery notes for sending materials to projects or teams, synchronizes warehouse and financial data with the company’s main ERP, and tracks material costs per project and contract.


4. Vortex HT (Helpdesk & Ticketing):

A request management system (for faults, maintenance, reports) that organizes, monitors, and categorizes incoming tickets. It provides reports, performance KPIs, SLA tracking, and automated notifications, ensuring that no request goes unmonitored.


Additionally
, the implementation included:


- Workflow configuration
to align with GEK Services’ processes (requests, approvals, assignments, execution, etc.).


- Training
for field technicians and administrators on using the mobile app and web dashboard.


- Integration
with existing systems (central ERP) for full interoperability.


- Definition of KPIs and dashboards
to monitor performance (e.g., response time, completion rate, cost per contract).

THE RESULTS

The implementation of Vortex Suite at GEK Services delivered significant benefits and measurable results:


1. Increased maintenance efficiency:

With centralized request registration and monitoring through FSM and Helpdesk, GEK Services managed to reduce response and completion times for maintenance tasks.


2. Reduced errors and delays:

Thanks to FSM Mobile, field technicians record accurate data (photos, notes, signatures) on-site, minimizing errors caused by manual reports or delayed data entry.


3. Cost optimization:

The CM module provided GEK Services with a clear view of contract costs, SLAs, and supplier performance. Management was able to negotiate better terms, eliminate inefficient partners, and forecast expenses.
